Privacy Policy

1. Controller

2. Categories of personal information

We collect: identifiers (name, email address, telephone number); vehicle descriptors (year, make, model, color, and stall notes you submit); commercial information (plan type, visit windows, Hold and waitlist status, payment status and payment-processor transaction identifiers); audio/electronic information (SMS content and consent logs processed by our messaging provider); visual information (vehicle photographs taken before and after a Visit); professional or property-related information (property code, community, unit, and vendor-board attachments after a property is activated); and internet activity (IP address, browser type, pages requested, and on-site interactions). We use a first-visit cookie to remember that you have seen a routing choice, hosting cookies that keep your visit and session working, and a product-analytics tool, which may record page interactions, to understand how the Site is used and fix problems. Form fields such as phone, address, and card entries are masked from analytics recordings. We do not use advertising cookies or sell this data.

We do not collect or store complete payment-card account numbers. Card data, if entered, is processed by our payment processor.

We do not collect Social Security numbers, driver’s-license images, or biometric identifiers in the ordinary course of The Refresh.

3. Sources

Information is collected from you, from your devices when you use the Site, from our payment and messaging providers in the course of processing, and from an authorized property representative after that property has been activated in our records.

4. Business purposes

We use personal information to: create and administer the Garage; process payment; schedule and perform Visits; send transactional service communications; display to an activated property only that property’s roster and logs; maintain insurance, tax, and dispute records; evaluate a claimed-damage notice under the Terms; detect fraud and secure the Site; remember a first-visit routing choice on that browser; and comply with law. If you book at an Authorized Property, you are on notice that the property desk for that community can see your vehicle, stall, window, job status, and completion photos. The desk cannot see another property’s records and cannot change your billing.

We do not sell personal information. We do not sell, rent, or share SMS opt-in data with third parties for those parties’ marketing. We do not purchase third-party telephone lists for text messaging. We do not post or publish vehicle photographs on social media or in advertising.

5. Disclosures

We disclose personal information to: our payment processor; our messaging provider; hosting, email, and infrastructure providers acting on our instructions; the authorized desk of an activated property — vehicle, stall, window, job status, and completion photos for that property only, and only after activation; Company’s insurer, insurance agent, and professional advisors when reasonably necessary to place coverage, add an additional insured, or evaluate a claim; and public authorities when required by law or to establish, exercise, or defend legal claims. Our payment processor is Square; our messaging provider is Twilio; the Site is hosted on Emergent.

A Property Code does not authenticate vendor-board access. A management PIN does not authenticate a resident Garage. Those credentials are issued separately.

6. Retention

We retain account, visit, photograph, communication, and payment-status records for the life of the Garage and thereafter as reasonably necessary for tax, insurance, legal holds, and the limitation periods applicable to potential claims. Closure of a Garage does not require erasure of records we are obligated or permitted to retain. Before-photos are retained as Company’s file. After-photos are retained as the record delivered to Customer. Payment-status and tax records are kept for up to seven (7) years. Visit photographs and messaging logs are kept for up to three (3) years after the Visit, or longer if a claim or legal hold is open. After a Garage is closed, other account data is deleted or de-identified within twelve (12) months unless retention is required by law.

7. Security

We maintain administrative, technical, and physical safeguards appropriate to the nature of the information. No method of transmission or storage is completely secure. Credentials are unique per property and per resident path. Do not share a management PIN with residents or a Property Code as if it opened the vendor board.

8. Your requests

You may request access to or correction of personal information we hold about you, or deletion subject to Section 6, by writing to Sean@detailondemand.co. You may withdraw SMS consent by replying STOP. You may terminate a paid plan through the Garage or by email. We do not knowingly collect personal information from children under thirteen (13) years of age.

Arizona residents may also write to the same address to request a copy of the categories of personal information we hold about them. We will verify the request against the Garage record before releasing it.

9. Third-party sites

The Site may link to processors and other sites that we do not control. Their policies govern their collection.

10. Changes; law

We may revise this Policy by posting a new version with a new effective date. This Policy is governed by Arizona law. Questions: Sean@detailondemand.co.
